Cancellation and Missed Appointment Policy 2025

We understand that unexpected situations can arise, making it necessary to cancel or reschedule appointments at the last minute. However, we have recently experienced a significant increase in missed appointments and late cancellations, which impact our ability to provide care to all patients.

Rescheduling and Cancellations

If your appointment time becomes inconvenient, we are happy to accommodate changes with at least two business days’ notice. This notice period allows us to offer the appointment to another patient who may need urgent care.

Impact of Missed Appointments

Missed appointments and last-minute cancellations affect everyone. They represent a cost to:

  • Our practice, in terms of lost clinical time.
  • You, as it may delay your treatment.
  • Other patients, who could have been scheduled during your time slot.

We strive to meet the appointment needs of all patients and prioritize emergency dental care wherever possible.

Late Cancellation and No-Show Fees

Failure to provide 48 hours’ advance notice or failure to attend a scheduled appointment will incur a cancellation or no-show fee of £75 per half hour of clinical time lost.

We understand that emergencies happen and will take valid circumstances into account. Our goal is to avoid any extra charges being passed on to patients whenever possible. The fee in this case may differ and will be at the clinics discretion.

Deposit Policy – Effective from 2nd January 2025

To ensure fairness and efficiency in scheduling, the following deposit policy will apply:

  • New Patient Appointments: A £20 deposit will be required to reserve any new patient dental appointment.
  • Appointments Over One Hour: A £100 deposit will be required for treatments exceeding one hour for both new and existing patients.
  • Cosmetic and Implant Treatments: Deposits for these appointments will be calculated individually.

All deposits are deducted from the total treatment balance and are fully refundable if the appointment is cancelled or rescheduled with at least 48 hours’ notice.
